Everyone is selling software with an assistant bolted to the side. We built the other thing: an employee who has all the software built in to run a business. A real double-entry ledger, quoting and invoicing, supplier bills, jobs, projects, a deal pipeline, a diary, a document vault, email intelligence across every mailbox, WhatsApp, voice calls, online meetings, social media and your website — nineteen modules on one record — and inside all of it, Crystal: a colleague who can work every one of those screens herself.
That is the point of this page. Each feature below is described in full, and each one shows what happens when you don't open the screen at all — when you type it to her, say it in a WhatsApp voice note, or ask her on a call. “Add two hours' labour to the Pillay job and draft the invoice.” “Take the price on that quote down to R 18 500 and resend it.” “Capture this supplier bill” — with a photo. One mind behind every door
The Crystal who reads your inbox at six in the morning is the same Crystal who answers a customer on WhatsApp at nine, takes your call on the way to a site, sits in your Teams meeting at two and chats with a visitor on your website at night. Same memory, same judgement, same standing instructions from you, the same knowledge of your customers, prices and open work.
She does the work — 338 actions, across the whole business
Crystal is not a chat window that tells you which button to press. She operates the platform: she drafts and revises quotations, prices them from your policy, issues them on your say-so, captures a supplier bill from a photograph, opens a job card and adds the parts, moves a project's tasks, books a meeting across five diaries, files a document, sends a WhatsApp, runs a report, writes and publishes content to your website. 338 distinct actions across 30 areas of the business, using the same controls and the same role permissions as your staff — and every action leaves a permanent record of who asked, what she did and what came back.
She remembers — what was said, what was done, and where she said it
Everything she told a person in the last two days, on any channel, is in front of her the next time they speak. Email conversations are remembered as conversations, so she knows what she asked, quoted and promised three replies ago. After each conversation she keeps a faithful digest with the exact amounts, codes and names. She can recall precisely what happened in an earlier session — what she did and what her sources said — and when her record turns out to be wrong, she corrects it, and the correction travels with every later version.

She is taught, not programmed
When you correct her, you say why — and the reason becomes part of how she judges from then on. Reject a draft reply with a reason and the whole team's Crystal learns it. Tell her a thread was not a deal and why, and that reason sits in front of her the next time something similar arrives. Write a standing policy in plain English — “never quote installation without a site visit” — and it is in front of every decision she makes. After each piece of work she draws her own lessons from what actually happened, and withdraws beliefs the evidence contradicts.
Learning you can audit and undo
Lessons that make her more careful take effect immediately. Lessons that would give her more freedom wait for the owner's approval, in one queue. Every change to how she thinks is recorded with before and after, she proposes tidy-ups to her own rules for you to accept or decline, and her whole working mind can be restored to any earlier point — or to “just before that change”.
Silence is her default
She asks “is this worth interrupting a person for?” — not “is this interesting?”. How loudly she reaches you follows how serious the matter is and your business's quiet hours: the bell, a push, a voice note, a phone call. When she decides something can wait, she records that decision and why. If she decides you need a call, she rings once per matter — never twice — through the channel she knows you prefer, and a daily ceiling you set means she can never become a pest. Tell her on the call that it was noise, and why, and she weighs that next time.
She tunes herself when you tell her to
Her behaviour is adjustable in conversation. Tell her who she should keep informed, what she may handle alone, whether she should answer you in voice notes, which alerts should reach your phone — and she changes her own settings, within the limits the owner allows. She can always make herself more cautious on her own; giving herself more freedom goes to the owner for approval.

You never write instructions for her. You confirm facts about your business — what you sell, who it is for, how quickly a quote should be answered, what she may and may not say — in plain forms, pre-filled from your own website and records wherever possible. The platform turns those facts into how she behaves, and keeps all of the steering to itself.
A voice for each person
She speaks on calls, in meetings and in WhatsApp voice notes, and every person chooses the voice they hear from a library of thirty, each with a sample. The owner sets the house default; in a meeting she uses the voice of whoever sent her.

Every mailbox, read continuously — as one conversation
Crystal reads every connected mailbox — inbox and sent items — throughout the day, on Microsoft Exchange, Microsoft 365 and IMAP. She follows each conversation across all of your company's mailboxes, so a colleague's reply from a different address counts as an answer and a customer who writes to two people is one thread, not two. She can search every folder live, including the folders your own rules file mail into, open and read attachments, and tell you where a message ended up. A mailbox that stops responding is shown at the top of your dashboard and your briefing, so a broken connection can never pass for a quiet day.

“Needs attention” and “wants to buy” — judged separately, with evidence
Every incoming message gets a category from your own list, a judgement of whether a person needs to see it, a recommendation for what should happen next — and, separately, a strict judgement of whether there is genuine buying intent, with the exact phrase that proves it quoted back to you so anyone can check it. Buying intent is judged across the whole conversation, because it usually arrives in a reply — “thanks, please go ahead” — rather than in the first email.
Unanswered enquiries never rot
An enquiry nobody has answered goes to the owner of the mailbox it arrived in — after a couple of hours, again later that day, and once more the next — and then she stops, because a system that never gives up teaches people to ignore it. A reply from anyone, on any channel, clears it. Mail you sent that expects an answer is tracked the same way until the answer comes, then closed automatically.

Every conversation summarised — and owned
For each thread she reads the whole history across every mailbox and keeps a live summary: where it stands, what should happen next and who owns the commitment. Mail sent to a shared address belongs to whoever replies first — never to the machine — and only an explicit hand-over changes the owner.
The front gate
Every new message gets one quick, reasoned look before her full attention: does a person need this, or is it junk, spam or phishing? Anything held back is listed with its reason. Anything doubtful goes through. Meetings, quote requests, system alerts, security notices and personal mail always reach a person, and your known customers and suppliers can never be swept away by a broad rule.
Junk filed the way each person chooses
Each person decides, for the mailboxes they own, whether spam and phishing — or all junk — should be moved to their Junk folder automatically, on Exchange, Microsoft 365 and IMAP alike. Every move is listed on the Mail Security page and reversible with one click, and moving something back teaches her it was real.
Your signature, your mail, your watches
She detects and manages your email signature, drafts and edits emails in your voice, and watches for the things you care about: say “tell me when this supplier emails about the delivery” and she alerts you — and only you — the moment it arrives, once or until a date you choose.

A morning briefing, scoped to the reader
Each morning every person gets her briefing by email: staff see their own work, managers their department, owners the whole company — leads, unanswered mail, money owed, jobs, billing, operations, and what she did for you. Sections with nothing to say are left out. The same briefing feeds the dashboard and WhatsApp, so “owed to us” means one number everywhere.

Customers and staff reach a business in five ways. Crystal is the same colleague on all of them — with your records behind every answer.
She answers enquiries — and knows when to hand over
For every message she decides one of four things: answer it, ask a colleague to take it, acknowledge it, or leave it (machines only — never a real person). An answer carries real pricing from your policy, live stock, your product knowledge, a quotation document if one was asked for, and the memory of the whole thread. When something needs a person, a colleague has genuinely been asked — “someone will be in touch” is never a sentence without an action behind it. If she needs one detail to answer properly, she asks one clear question.
Autonomy you grant, mailbox by mailbox, category by category
Nothing she writes reaches an outsider from a mailbox until its owner switches her on, and nothing overrides that switch. She can start in Preview, where every draft goes to your reviewers beside the original email: send as-is, edit and send, or reject with a reason that becomes team-wide knowledge. Her scorecard shows how often her drafts went out untouched, per category, and tells you when she has earned Live; a person always makes the call.
Three audiences, three conversations
A customer, a supplier and a colleague get three different conversations. A customer never sees what something cost you or who supplied it. A supplier never learns what your customer is paying. A colleague gets the straight answer, internal figures included. When she is in the To line she answers the thread and keeps everyone the writer included; when she is only copied, she speaks to your own people.
WhatsApp, fully
She talks to customers and staff on your business's own WhatsApp number, alongside a console for your team with quick replies and opt-outs. She sends quotes, invoices, job receipts and any document as attachments, replies with voice notes once a person has agreed to them, and takes and places live WhatsApp voice calls on the number the call came in on. Voice notes you send her are understood exactly like typed messages — which is how most people end up working with her.

Call her from the app, or let her call you: your phone rings with Answer and Decline, and answering on one device silences the others. She can ring a colleague by voice when something needs them, offer a customer a call, and hand a customer a single-use guest link to speak to her live with customer-level access only. On the call she has your business behind her — she can look things up while you talk.
A colleague in your meetings
Send her a Microsoft Teams or Google Meet link — in chat, on WhatsApp or from the calendar — and she joins under her name and title. She can sit silent, answer only when named, or take part as a colleague, and you can change her role mid-meeting. She knows who is speaking, reads the meeting chat, keeps a running overview and afterwards writes the minutes: decisions, actions and commitments — never an invented owner or date — checked against what the business already knows, and filed on the related project. With outsiders present she never discusses other clients, pricing or margins; in a room that is all yours, she opens up.

Alerts you control, to the channel
Every person decides, event by event, whether they hear about it by email, push, SMS, WhatsApp or voice — on screen, or simply by telling her. Administrators set the house default but never override an individual. If a channel is muted she steps down to a quieter one rather than going silent, email is always the floor, and a personal reminder can never land on the whole company.

Quotations, by conversation
Quotes run from draft to issued to accepted or declined, can be reopened for revision, print as branded PDFs on your letterhead, and carry a payment link. Notes such as “supply only” or lead times print as text, not as zero-value lines. Crystal can create, revise and delete draft quotations, look up stock and pricing while she builds them, produce the document, draft the covering email and — when you say so — issue and send it.

Pricing that is yours, applied identically everywhere
Write your pricing policy in plain English — markups, margins, minimums, price bands, rounding, items you never quote. She reads it back to you with worked examples, and once you approve it, every price she gives is the same on WhatsApp, email, a phone call or the screen. With no approved policy she does not guess; she hands over to a person. Live supplier prices and stock can be fetched from your suppliers' own trade portals with your account, and are priced for the customer through your policy before she ever sees them.

Invoices drafted by voice, issued on your word
Tax invoices are checked against South African tax-invoice requirements before a number is ever allocated, so drafts never waste a number and an issued invoice is always compliant. Once issued, an invoice is permanent: corrections are credit notes, never edits. Crystal drafts, edits and deletes draft invoices freely, and issues them, raises credit notes and records payments when you say yes.

One record from quote to ledger to bank
A quotation is accepted into an order, the order becomes a job or an invoice, the invoice carries its own payment link, the payment is allocated and the ledger is posted — one continuous record, nothing copied between systems. When a customer pays a quote online, the whole chain completes itself: accepted, invoiced, receipted, their tax invoice in their inbox and your team told to fulfil.
Orders, credit control and delivery
Sales orders check the customer's account status and credit limit before they confirm, with a director's override recorded when it is used. Delivery notes and proof of delivery are built in, and goods held for prepayment are only released once the invoice is paid, a verified proof of payment covers it, or a director approves.
Pay links on everything
Branded payment pages for invoices, issued quotes, sales orders and deposits, each through your own merchant account, with an optional card-fee surcharge shown openly to the buyer. A link always asks for what is actually owed, so a stale link can never over-collect, and a paid invoice shows PAID instead of a button.

Invoices and statements that go out properly
Send a batch of invoices with a result reported for each one; send from your own mailbox so they land in your Sent Items with your signature; attach other documents for the same customer — and only that customer. Customer statements show ageing and open items, and a month-end list shows everyone who owes you, worst first, flagging anyone you can't email.

Deals that keep themselves
Every CRM dies the same death: a person has to move the card. Crystal's deal board is built so nobody does.
Deals that open themselves — with the conversation inside
A piece of business becomes a deal card the moment the conversation shows it — whether the customer wrote to you, or you wrote to them after a phone call. The card carries the conversation itself, every other email with that party, the documents and the money: quoted, invoiced, paid, outstanding, with an activity log nobody can rewrite. Our quote and their reply land on the same card, and a customer writing under four subject lines about one project gets one card, not four.
She knows what a deal is — and what it isn't
Before a card opens, she decides whether this is business you are selling, part of something already on the board or in a project, or not a deal at all — your own accounts and legal matters, purchases from suppliers, admin, courtesy notes. Her reason is recorded, so “why is this on the board?” always has an answer, and every card you dismiss, with your reason, teaches her the next one.
The stage is read from the paperwork, never dragged
Request, quoted, accepted, ordered, supplied, invoiced, paid, delivered, closed — a deal's position, value, health and next action are worked out from the real documents every time you look. A quote issued in finance moves the deal; a payment on the job moves it again. Nothing about its position is typed in, so nothing can go stale.
She looks before anyone is nagged
When a deal stops moving, she reads the conversation before anyone is told. If it is genuinely waiting on you, she writes the reminder herself — naming what is waiting and what to do. If the ball is in the customer's court, or the matter is already handled, nobody is bothered and her reason is recorded on the deal.
Post-mortems quoted from the conversation
One click tells you why a deal was won, lost or stalled: the message that changed the temperature, what the customer actually said, what we said that helped or hurt, and how long they waited for us at each turn — every claim quoted from the thread, and blunt about us when it should be.

A sales chain with a dial on every step
From enquiry through quote, confirmation, supplier stock, negotiation, payment authorisation, purchase order, delivery and close, each step can be set to off (a person does it), propose (she prepares, a person approves) or auto (she does it). Customer confirmation is read strictly — “we're not going ahead at that price” is never mistaken for a yes — and supplier negotiation only starts once the customer has confirmed. Releasing money for a supplier is always a named person's act.

Supplier bills read line by line — from a photo
Drop a supplier invoice into the chat or a WhatsApp — a PDF or just a photograph — and she reads every line, codes each one to your real accounts, checks the totals, matches or creates the supplier from the document, and proposes the capture. Upload a whole stack at once and each file is sorted: invoices and credit notes become payables, receipts are booked as paid expenses rather than debts, delivery notes and statements are recognised for what they are, and nothing is captured twice — the same supplier invoice number is refused wherever it comes in. Files she can't read come back as “needs attention”, never silently dropped.

True margin on every sale
Link a supplier bill to the sale it supplied and the gross profit and margin appear on the invoice and the job — corrected everywhere the moment a link is fixed, with no cost ever counted twice. She suggests the matches herself; a person confirms.
Commission worked out from real cost
Each sale's cost is assembled from every supplier bill linked to it, with a supplier quote or purchase order standing in until the bill arrives — so a slow supplier never delays anyone's commission. Lines the system can't place are put to a person, and every decision teaches the next. Salespeople can do all of it by asking her.
Purchase orders and goods received
Purchase orders to goods received notes, with partial deliveries and protection against receiving more than was ordered; receipts feed stock and post to the ledger.

Inventory that agrees with the ledger
Multi-warehouse stock with average cost, receipts, issues, transfers, revaluation and adjustments that require a reason — and a valuation screen that shows whether your stock agrees with your books. Supplier price lists and stock files arriving by email are picked up, mapped, confirmed by a person and imported as a deliberate step, with every correction teaching the next import.

A real double-entry ledger at the centre — not an accounting package at the end of the chain.
A ledger that cannot be quietly changed
Every module posts into one general ledger with a chart of accounts built for your business, VAT-registered or not, with periods you close and lock. Issued invoices and posted journals are permanent — a mistake is corrected by a credit note or a reversing entry, never by editing history. Payments, allocations and stock movements work the same way. The trial balance stays at zero through every step of a sale, and a live trial balance, profit and loss and balance sheet are always one question away.

VAT is calculated exactly, line by line, and the VAT201 return is derived live from what was actually posted, traceable to the transactions behind every figure. Finalising posts the settlement; a return can never be finalised twice.

Bank statements that must add up before they post
Import statements as CSV, OFX or PDF — scanned PDFs included. Each line is matched to open invoices and bills, recurring items like bank charges and salaries are remembered once, and re-importing an overlapping statement can never double-post. A statement that doesn't reconcile to its own opening and closing balance simply cannot post: a misread becomes a visible refusal, not a wrong payment. Confirming a line that moves cash is always a person's act.

Receipts, deposits and reversals
EFT, cash and card receipts allocated oldest-first or to chosen invoices; deposits and booking fees taken before an invoice exists and applied later; customer credits; full reversals for a bounced debit or a mis-applied receipt; opening balances for businesses moving across; and a guard that refuses to record the same receipt twice.

Sales, receivables, credit notes and customer reports with live KPIs and charts, and plain-English questions answered from your own figures — including from an existing external accounting database, if you still run one. Reports that carry cost are for your people only.

Recurring billing & collections
Nothing goes unbilled
Every morning she checks every recurring customer for a period that wasn't billed, drafts the missing invoices with the month brought up to date, and tells you how many are waiting for review. Card subscriptions you've set to charge automatically are issued and collected, and you get one summary of the run. A draft you delete stays deleted — she treats it as your decision.
Debit orders without guesswork
Debit order, card on file and EFT with a pay link, collected on separate rails through a monthly run you review step by step: drafts, review, issued, batch prepared, submitted, reconciled, closed. A collection batch can only be built from invoices already issued — never from an estimate — so nobody is debited a wrong amount. Submitting always needs a person's explicit confirmation, and the platform never stores your customers' bank details.

A ticket is the email thread itself, not a retyped copy — with response and resolution tracking, a timeline that shows what a person, the client, the system and Crystal each did, and promotion to a job in one step. Billable support time flows to invoices through the same engine, and a customer's support entitlement is checked before work starts.

Two price firewalls
A customer never sees your cost price, your margin or your supplier. A supplier never learns your sell price or who your customer is. These are enforced on what she can say, not left to her manners.

Crystal has no way to pay anyone, at any setting. She can assemble the authorisation for a supplier payment — order value, supplier price, expected margin — but the funds are released by a named person, and she is never among those who may approve her own request.
